Frequently asked questions
Answers to the questions schools ask most before they decide to use Tetradio.
About Tetradio
What is Tetradio?
Tetradio is one platform for running a school: students and classes, attendance, guardian communication, activities, events, fees and documents.
Every school gets the whole system. Your package sets how many students it covers, not which features you can use.
Who is Tetradio for?
Private schools, tutoring centers and preschools that are running on spreadsheets, paper attendance sheets and a messaging app, and have reached the point where nobody can answer a parent's question without asking three people.
It suits one school, or several branches under one management, rather than a district administration. Schools of forty and schools of four hundred use the same system.
Is there an app for parents and teachers?
Yes, and it is the same system rather than a cut-down version. Guardians see attendance, activities and payments for their own students.
Teachers take attendance and update activities from it, so the attendance a teacher takes on a phone is the record the office reads.
What languages does Tetradio work in?
Greek and English, with more planned. Each person chooses their own, so your staff and your guardians do not have to use the same language.
Who can see a student's information?
Only the staff assigned to that student's class, and the student's own guardians. Access is set per role, so an administrator, a class teacher and a guardian each see a different view of the same record.
Photos and files carry their own permissions on top of that, down to the individual file. Our Privacy Policy sets out what we do and do not do with school data.
For managers
Can we choose which features are switched on?
Yes, but not by package. Every school gets the full platform, and your manager chooses which features are switched on from the features settings page.
Turn anything off, turn it back on later — nothing is locked behind a higher tier.
How do fees and payments work?
Payments are recorded per student and kept in sync between the school and its families: guardians see what is due and what has been paid, and installment plans and outstanding balances are tracked per family in one ledger. Tetradio records payments; it does not take them. Families pay the school the way they do today, and the school marks what has been paid.
The ledger exports for your accountant as CSV or XLSX.
What can the office get out of it?
Absences by student, class and date range, and which students have the most unexcused absences. Enrollment, attendance and payment data export as CSV or XLSX.
Daily reports stay on file, so the office and guardians can look back at any earlier day.
What happens at the end of a school year?
Student records carry across years rather than being re-entered. The same record follows a student through class changes and new school years, so last year's attendance and documents stay attached to the child they belong to.
Can we export our data whenever we want?
Yes. Attendance, enrollment and payment data export as CSV or XLSX at any time, without asking us.
What happens to your data if you leave is set out in our Terms & Conditions and Privacy Policy.
Is our data kept separate from other schools?
Yes. Each school has its own address, and its data is kept separate from every other school's: everyone sees only what belongs to their own school, and that separation is tested automatically before every release. Nothing is shared between schools. Our servers are in the European Union.
For teachers
How is attendance recorded?
The teacher or the school manager takes attendance for each class and day, on a phone or a laptop, with a reason against each absence and a time for late arrivals and early departures.
For a day of extreme weather or a strike, declare a closure for the whole school, a branch or some classes, and the people affected are notified.
How do teachers record what the class did?
Activities carry their own files and comments, so the work and the discussion around it sit together rather than in an email thread.
For preschool there is a daily report — meals, sleep, mood, activities — which can be filled once for the whole class and then adjusted only where a child differs, and shared with guardians as soon as it is ready.
Can teachers message guardians directly?
Yes, and the thread stays attached to the student record rather than living on someone's phone.
Staff write from the school account, so no personal numbers are shared in either direction.
Do teachers need training?
Guided setup includes two sessions, one for administrators and one for teachers, recorded so staff who join later can watch them.
The teacher side is deliberately small: take attendance, update an activity, message a guardian. Most of the configuration is the office's job, not theirs.
For guardians
What do guardians see?
Attendance, activities, events and payments for their own students, and nothing about anyone else's.
They can also message the school or the teacher directly about a planned absence or a sudden one.
Can one guardian be linked to several students?
Yes, including siblings in different classes. The guardian sees all of their students from one account.
Each guardian linked to a student has their own contact details, language and level of access, so two parents do not have to share one login or see the same things.
How are guardians notified?
Announcements go to one class, several classes or the whole school, and key updates also trigger email notifications, so nothing depends on a guardian opening the app.
Every announcement stays in an archive, so a guardian who missed one can find it later.
Can we share photos and videos with parents?
Yes. Staff create albums per class or per event, and an album can be downloaded as a zip.
Every photo and video carries its own access rule, so one class never sees another's unless you allow it, while a trip or a ceremony can be opened to the whole school.
Cost and billing
How much does Tetradio cost, and how is it billed?
Packages are priced by the number of enrolled students, and every package includes every feature. The full price list is on the Features & Pricing page.
You can pay annually or monthly. What you save by paying annually, and what happens if you cancel, are answered in the billing questions on the home page.
What if our student numbers change during the year?
There is headroom above your band before anything changes. Past that you move up and pay the difference for the months remaining on your term, never a full second year.
If your numbers fall, your package falls with them at the next renewal — no penalty and no negotiation. Nothing changes mid-term in that direction.
Is there anything for very small schools?
Yes. Solo is the same system at a size that fits a single-site school or a tutoring center, with no reduced feature set and no limit on staff accounts. It is not a trial and it does not expire.
Pricing is on the Features & Pricing page.
What happens if we stop?
A monthly subscription can be canceled at the end of any month, with no penalty and no notice period.
Your data is then kept for a limited window during which you can come back, after which the workspace is permanently deleted — we hold personal data about children only for as long as there is a reason to. The window, and the fee for returning inside it, are set out in the billing questions.
Getting started
What does setup involve, and how long does it take?
Up to two weeks, as a defined piece of work. We import your students, classes and fee plans, configure the year calendar and notification rules around how your school already works, train administrators and teachers in separate sessions, and stay on hand through your first full week of attendance.
We do this with every school — it is what the setup fee pays for, and the trial starts with it too. Once you are running, support stays included at no charge.
Can we bring our existing data across?
Yes, and setup needs it. We import students, guardians and classes from xls, xlsx, csv or xml — an export from your current system or the spreadsheets you already keep is usually enough.
If you are wondering how your own records would come across, ask during a demo and we will explain how the import works: what we would need from you, and what we do with it.
What do we need ready before we start?
Your student and guardian list, your class structure, and your fee plans, in whatever form you already keep them. A spreadsheet is fine.
You do not need to tidy it first. Telling us what the columns mean is faster than reformatting them, and we would rather see the real thing than a cleaned-up version that hides what your school actually records.
Can we see it before deciding?
Yes. A demo takes about 45 minutes, or about an hour and a quarter with questions, on realistic sample data for a modern school, in your browser, with nothing to install and nothing to send us beforehand.
Book a demo and pick a time that suits you.
What support do we get?
Write to support@tetradio.com and you will hear back within one working day, Monday to Friday.
Once your school is running, questions about a particular account, attendance record or payment are usually fastest through your own school administrator, who can see your settings. Anything that looks like a fault comes to us.
